Belmont Primary School PTA Monthly Meeting

Minutes

 

Meeting opened at 7.30 pm

 

Meeting chaired by:  Sarah Peters

Treasurer’s Report:

Rebecca presented May’s report.  Possible net profit of at least $7,000 from Art Auction.  Request from school to pay for ‘kid pix’ computer license of $907.95.  Agreed to pay from our $10,000 donation to the school. 

Action: Rebecca to liaise with Robyn.

 

Principals Report:

Bruce is investigating costs of a shed for PTA storage.  Concerns were expressed regarding suitability for storage of large items (tables etc) and whether suitable for storage of Kapa Haka uniforms.  If of a wooden construction, shed would need to be lined and shelved.

 

Fundraising:  

  • School show takes place in September – PTA to arrange and sell refreshments at each performance
  • Sausage sizzles to continue each term
  • Christmas Calendar/cards (approx $2500)
  • School disco – Lisa Reid has offered to organize again with assistance from year 6 pupils.  Concerns were raised regarding safety of children as many have been found visiting all areas of the school grounds.  Decided that next disco would be held in the school hall, with additional use of staff room and possibly yr 6 classrooms.  Will need to be either early term 3 or early term 4.

Action; Rebecca to request BOT revisit whether alcohol can be provided for parents at school disco.  

  • Movie Nights for adults: Fundraising screening at cinema  - approx $20 per ticket
  • Movie Night for kids: screen film in BPS hall – kids bring bean bags and blankets
  • Movie afternoon screening for families

Action: Rebecca to investigate costs of screen hireage at local cinemas

(For info – Shrek goes Forth out approx 24 June & Toy Story 3 on 1st July)

  • Mufti days to continue each term
  • Christmas Cake Demo (Anthea Dunning) – term 3
  • Casino Night (to attract more men)

Action: Sarah to investigate further

  • Screening of Football World Cup matches in hall – have since learnt that all live matches screened in Sky only
  • Plant fundraiser
  • Car boot/table top sale – $20 per table (create space for Christmas or after Christmas to make space for new stuff!)

 

Any Other Business:

Mention was made that not all PTA activities are posted on the school website. Agreed Sarah will discuss with Bruce.

Action completed.   

 

Art Auction – Evaluation:

  • New coffee plungers required
  • Is the price and effort of external street signage cost effective?
  • Only need to print enough flyers for each class and a further 10 approx for local community
  • Don’t commit to prices (except entry or ticket price) on flyers or signs
  • Programme – does it need to be so extensive?  Maybe print enough for a couple per table (too many printed and unused)
  • Kid art work – save paper by using one page for each class
  • Possibly more items in the Live auction?  
  • Investigate ‘mood lighting’ to create a better ambience
  • Ensure some sort of registration process to collate numbers for catering purposes (difficult to assess if numbers not known and results in food wastage and loss of profit)
  • Food can only be kept warm in special dishes for 2 hours max and then needs to be discarded.  Failure to comply with this may result in PTA losing option to provide food at functions 
  • Silent auction – once closed, each page is crossed with a red marker to ensure no more bids.  People can then check if they have won and bring page with them to pay desk (many people didn’t know if they had won and couldn’t remember what number or artist and this caused a long wait!).
  • Silent auction – ensure each item has number attached to itself.  This is required to prevent mix-ups as people pick up items to look at them.  
  • Ensure Auctioneer attains reserve price for items as agreed with artists   
  • Outdoor French café and patio heaters proved very popular
  • Consideration needs to be given to purchase of own tables and other items for future events – we do borrow them for free but very time and labour intensive and trailer required for transportation
  • Navy Wardroom have offered use of wine glasses for future events
